Privacy policy
Last updated 29 September 2026
Coacher is a platform that fitness, nutrition and lifestyle coaches use to work with their clients, on the web and in the Coacher apps for Android and iPhone. It is operated by Startexa (“we”). This policy explains what personal data is processed, why, and the rights you have.
Who is responsible for your data
- If you are a client, your coaching business decides what information it asks you for and how it coaches you. It is the data controller; we process the data on its behalf to run the platform. Questions about your coaching go to your coach first — you can always contact us too.
- If you are a coach or run a coaching business, we are the controller for your own account details and for running the service.
What we process
- Account details: name, email address, a securely hashed password, your role and the business you belong to.
- Coaching information you or your coach enter: goals, intake and health-history answers, signed waivers, programs and workout logs, personal records, nutrition targets, food logs, meal plans, habits, check-in answers, body measurements such as weight, and custom progress metrics.
- Smartwatch and health data, if you connect it: daily steps, active calories, resting heart rate, sleep duration, workouts recorded on your watch, and weigh-ins, read from Health Connect on Android. See Smartwatch data below.
- Photos you upload: meal photos and progress photos.
- Messages between you and your coach, and notifications.
- Payments: handled by Stripe. We store what you bought, amounts and subscription status — never your card number.
- Device and technical data: a push-notification token if you allow notifications, and server logs including IP addresses, used for security and abuse prevention.
Much of this is health-related data. It is processed only to provide the coaching service you signed up for, based on your explicit consent when you provide it and on the agreement between you and your coach. You can stop at any time by deleting your account (see below).
How the data is used
- To provide the service: show your plan, log workouts and meals, let your coach review check-ins and message you.
- To send reminders and messages you or your coach set up (in-app, push, email or SMS).
- To process payments for coaching you buy.
- To keep the service secure and working, and to fix problems.
We do not sell personal data and do not use it for advertising.
Smartwatch data (Health Connect)
On Android you can choose to connect your smartwatch through Google's Health Connect. Coacher only reads the data types you allow in the Health Connect permission screen: steps, active calories burned, resting heart rate, sleep sessions, exercise sessions and weight. We never write to or change your Health Connect data.
- The data is used only to show your activity to you and your coach, to tick step habits automatically and to add weigh-ins to your progress chart.
- It is not used for advertising, not sold, and not shared with anyone other than your coaching business. It is not used to train AI models.
- You can stop syncing at any time in the app (Watch & health) or in Health Connect, and delete everything that was synced with Delete synced watch data. It is also deleted with your account.
Coacher's use of information received from Health Connect adheres to the Health Connect Permissions policy, including the Limited Use requirements.
Meal photo analysis
When you log a meal with a photo, the image (and any note you add) is sent to our AI provider, Anthropic, to identify the foods and estimate calories and nutrients. The estimate is shown to you to edit before anything is saved. Anthropic processes the image to return the result and does not use it to train its models under our commercial agreement.
Service providers
We share data only with providers that help us run Coacher, each bound by a data processing agreement:
- Our hosting provider — servers and backups.
- Anthropic — meal photo analysis.
- Stripe — payments.
- Postmark — email; Twilio — SMS (only if your coach uses them).
- Expo and Apple / Google — delivering push notifications to your phone.
- Open Food Facts — product lookups; only the barcode or search words are sent, never who you are.
Some providers are located outside the EU/EEA (for example in the United States). Such transfers rely on the EU–US Data Privacy Framework or the EU Standard Contractual Clauses.
How long we keep it
- Your data is kept while your account exists. When you delete your account, your personal data and uploaded photos are deleted immediately.
- Database backups are kept for up to 14 days and then overwritten.
- Payment records are kept as long as bookkeeping law requires (seven years in Sweden), without your other coaching data.
Your rights
You have the right to:
- access your data and get a copy of it — use Account → Download my data in the app or on the web;
- have incorrect data corrected;
- have your data deleted — see Delete your account;
- withdraw your consent, object to or restrict processing;
- complain to a data protection authority. In Sweden this is the Swedish Authority for Privacy Protection (IMY), imy.se.
Deleting your account
In the app or on the web, go to Account → Delete my account. If you no longer have access to the app, use the account deletion page or email us at privacy@coacher.site.
Children
Coacher is not intended for anyone under 16. Coaches must not invite clients under 16 without a guardian’s consent.
Security
Traffic is encrypted with HTTPS, passwords are hashed, photos are only served to signed-in users with access to them, and access within a coaching business is limited by role.
Changes and contact
If we change this policy we will update the date above and, for significant changes, tell you in the app. Questions or requests: privacy@coacher.site.
